Scheduling Videoconferencing

Videoconference Request Form (user ID and password required*)

All Internet2 Commons conferences are scheduled on a first come, first serve basis. Therefore, please allow adequate lead time to ensure you get the timeslot and services you need for a successful conference. The Commons technical staff recommends a 1 Week lead time as your best guarantee for timeslot availability and the full resources you require. In some cases, it may be possible to fulfill requests within a shorter time frame, but you should check with commons-techsupport@internet2.edu in advance to check on availability.

Scheduled conferences will be allocated the necessary resources according to the following variables:

  1. Amount of lead time for conference request
  2. Is testing required (yes/no)
  3. Date and length of the videoconference
  4. Voice-switched or Continuous-presence (various versions of "hollywood square" onscreen users) format
  5. The rate at which you want the conference (384 Kbps recommended)
  6. The number of ports on a telephone bridge needed
  7. Number of sites allowed in the conference
  8. Streaming of the conference (yes/no)
  9. Recording and short term archiving of the conference (yes/no)
  10. Stream Title if live or archived streaming is requested

If your endpoints are not registered with a GDS-enabled gatekeeper, you may borrow space on the Internet2 Commons Gatekeeper.

About Streaming:
Videoconferences are streamed using a Starbak VCG streamer. This box signs into a conference as an endpoint then streams the conference over the network at the same bit rate as the conference, but we can use the MCU to connect the streamer at a different rate. You will not be able to use this feature to stream to a 56Kbs modem user. The recording of the stream is another feature of the same box. This recording is in a proprietary format and therefore can only be viewed off the box that captures it. We will store this recording for three weeks after the event. We can provide .mov or .asf files of the recording if you would like a copy of your archived event, but you need to ask for this archive before the end of your three-week storage period.

*Note:
Only Site Coordinators (or in the case of a Prime Plus subscriber, the Scheduling Administrator) can request a conference. Contact commons-techsupport@internet2.edu for assistance.
